SOP Client Report Workflow

Standard Operating Procedure for converting inspection data into client reports.

Submit Inspection

Perform your home inspection as usual. Open the web form on your iPhone, fill in the details, and tap Submit.

Get the Data

  • • Go to your email inbox and find the email subject: "New form submission".
  • • Highlight the text in the email body (starting from "Property Name" down to the bottom of the notes).
  • Copy the highlighted text.

Process with Gemini

Open Google Gemini in your web browser and select the "Concierge Report Generator" Gem.

  • Paste the email text into the chat box and hit Enter.
  • Gemini will reply with a block of code.
  • Click the "Copy" button found at the top-right corner of that code block.

Create the Report

Go to the Staff Portal on your website.

  1. Enter your PIN to login.
  2. Click on Report Generator.
  3. Paste the code you copied from Gemini into the large text box.
  4. Click the blue button labeled "Create Report & Print".

Save as PDF

Your report will appear in a new tab and the Print window should open automatically.

  • • Change the Destination setting to "Save as PDF".
  • • Click Save.
  • • Name the file (e.g., Smith_Report_Dec15.pdf) and save it.

Send to Client

Draft a new email to the client, attach the PDF you just created, and send!

Troubleshooting Tips

Logo Missing?

Ensure the RB_Solutions_Logo.jpg file is uploaded to your website in the same folder as the Staff Portal files.

Dates look wrong?

You can edit the text inside the Gemini chat before copying the code if you need to make a quick correction.
